Organizing Your AllChinaBuy Orders

A spreadsheet is only as good as the system around it. This tutorial on organizing your AllChinaBuy orders covers folder structure, naming conventions, and sheet hygiene.

Folder Structure

Create a top-level folder named "AllChinaBuy 2026." Inside it, create subfolders:

  • 01 Active Hauls — current sheets for orders in progress
  • 02 Completed Hauls — archived sheets for delivered orders
  • 03 Templates — blank copies of your favorite tracker layouts
  • 04 QC Photos — year-month subfolders with album downloads
  • 05 Receipts — agent invoices and payment confirmations

Sheet Naming Convention

Use a consistent format: YYYY-MM — Haul Name — Status. For example: "2026-05 — Summer Tees — Delivered." This sorts chronologically, tells you the theme at a glance, and shows the status without opening the file.

Row Organization

Sort items by status, not by order date. Place "In Warehouse" items at the top because they need action. "Ordered" items come next. "Delivered" items sink to the bottom or move to the archive sheet. This turns your tracker into a to-do list.

Monthly Cleanup

On the first of every month, spend ten minutes on hygiene:

  • Move fully delivered sheets to Completed Hauls
  • Delete empty test rows at the bottom
  • Verify that all formulas still reference the right cells
  • Update your currency conversion rate if you use a static one
