Even a great tool becomes useless when used wrong. These are the most common allchinabuy spreadsheet mistakes we see buyers make, and how to avoid them.
Mistake 1: Skipping the Status Column
The status column feels like busywork until you have seven items in the warehouse, three shipped, and two you forgot to submit. Update the status every time you message your agent. It takes five seconds and saves twenty minutes of confusion.
Mistake 2: Mixing Currencies
Agent prices are in yuan. Shipping quotes are sometimes in yuan, sometimes converted to your local currency by the agent app. If you paste both into the same column without labeling which is which, your totals will be meaningless. Use separate columns or convert everything to one currency with a formula.
Mistake 3: Forgetting URLs
"I will grab the link later" is the most expensive thought in rep buying. Paste the URL into your sheet the instant you find the item. Taobao listings change, sellers remove products, and your browser history is not as reliable as you think.
Mistake 4: No Backup
You spent an hour building the perfect sheet, then accidentally deleted row one while scrolling on your phone. Google Sheets has version history (File > Version History), but only if you notice the mistake in time. Make a manual copy before every major haul.
Mistake 5: Over-Engineering
A sheet with forty columns looks impressive but takes longer to maintain than the shopping itself. Start small. Add columns only when you repeatedly wish you had one. A simple sheet you actually use beats a perfect sheet you abandon.
