Not every column in a tracker is equally valuable. This guide lists exactly what to track in your allchinabuy spreadsheet, ranked by impact on your buying experience.

Tier 1: Must-Have Data

These four fields are non-negotiable. Without them, your sheet is just a list of links:

  • Item URL — the original Taobao or Weidian link. Lose this and you cannot reorder or share the find.
  • Agent Price — what the agent charges for the item itself. This is your baseline cost.
  • Status — ordered, in warehouse, shipped, delivered. This prevents panic and duplicate shipping requests.
  • Total Paid — item price plus all fees and shipping. This is the number that matters for budgeting.

Tier 2: High-Value Data

Add these once you are comfortable with Tier 1:

  • Estimated Weight — agent guess before shipping. Use it to predict international shipping costs.
  • Actual Weight — warehouse measurement. Compare to estimate to learn which agents guess accurately.
  • Shipping Line — DHL, EMS, SAL, etc. Over time, this data shows which lines deliver fastest for your country.
  • Delivery Date — track speed per line and season. Holiday delays become predictable instead of surprising.

Tier 3: Nice-to-Have Data

These fields are for enthusiasts and resellers:

  • QC photo album link
  • Size ordered versus size received
  • Resale platform and listing date
  • Profit margin per item
  • Agent response time in hours

What Not to Track

Avoid copying entire product descriptions into your sheet. URLs are enough. Avoid screenshot files stored inside the spreadsheet; use imgur or Google Drive links instead. And never paste your payment card details anywhere.
