AllChinaBuy Spreadsheet:
Ultimate Guide (Beginner to Pro)
Everything you need to know about tracking, organizing, and optimizing your AllChinaBuy orders with a spreadsheet. From your first column to advanced automation.
What Is an AllChinaBuy Spreadsheet?
An allchinabuy spreadsheet is a structured document — usually built in Google Sheets, Excel, or Apple Numbers — that tracks every detail of your purchases through AllChinaBuy agents. It replaces scattered screenshots, chat logs, and browser bookmarks with one searchable, sortable table. Each row represents one item. Each column captures a specific data point: product URL, agent price, estimated weight, shipping line, tracking number, and delivery status.
Think of it as a flight log for your fashion haul. Pilots do not rely on memory to know fuel levels or flight paths. They use instruments. A spreadsheet is your instrument panel. It tells you what you ordered, what you paid, where it is, and when it will arrive. Without it, you are flying blind.
Why the AllChinaBuy Spreadsheet Is Trending in 2026
In 2024 and 2025, rep buyers mostly tracked orders inside agent apps. Those apps worked for single items but broke down for hauls. Buyers with ten items in the warehouse could not see a total weight estimate without manual math. They could not compare last quarter's shipping costs to this quarter's. And when an agent changed their interface, months of screenshot-based tracking became unreadable.
Spreadsheets solve all of that. They are platform-agnostic. When an agent updates their app, your sheet still works. They are forever searchable. A year from now, you can find the URL of that perfect hoodie in three seconds. And they are free. Google Sheets costs nothing. Excel online is free. The only investment is the ten minutes it takes to set up.

Full Tutorial: Building Your First Tracker
Step 1 — Create the workbook. Open Google Sheets or Excel. Name it clearly: "AllChinaBuy Tracker 2026." If you buy multiple hauls, create one workbook per quarter so files stay small and fast.
Step 2 — Add headers. In row one, type these across columns A through J: Item Name, Product URL, Agent, Item Price (CNY), Domestic Shipping (CNY), Estimated Weight (g), International Shipping (CNY), Total Cost, Status, QC Photos, Notes. Bold the row and freeze it.
Step 3 — Format columns. Make column B very wide for URLs. Set columns D, E, F, G, H to narrow numeric widths. Column A should be wide enough for short descriptive names. Format currency columns as numbers with two decimals.
Step 4 — Add the total formula. In cell H2, type =D2+E2+G2. This sums item price, domestic shipping, and international shipping into a true total. Copy the formula down column H for every row you add.
Step 5 — Start logging. When you find an item, paste the URL into column B before you message the agent. When the agent replies with a price, fill in column D immediately. When QC photos arrive, paste the album link into column J. When the item ships, change status to "Shipped." When it arrives, change to "Delivered."
Step 6 — Review weekly. Every Sunday, spend five minutes checking your sheet against the agent dashboard. Make sure statuses match. Update any missing prices. This weekly habit prevents the "I forgot to ship that" disaster.
Spreadsheet Templates Overview
We offer three free templates built for different buyer profiles. Each is pre-formatted, pre-formulated, and ready to copy into your own Google Drive.
Use Cases
Solo Casual Buyer
Buys 2-4 items per quarter. Uses the basic six-column sheet to avoid forgetting URLs and duplicate orders. Saves roughly one hundred dollars per year in prevented mistakes.
Fashion Haul Enthusiast
Buys 8-12 items monthly. Uses the bulk haul template to compare shipping lines, split packages, and track delivery times per carrier.
Part-Time Reseller
Sources 10-20 items monthly and resells on Grailed. Uses the reseller dashboard to track landed cost, list price, platform fees, and net profit per item.
Group Buy Organizer
Coordinates orders for 3-5 friends. Uses a shared Google Sheet so everyone sees the haul build in real time and splits shipping fairly by weight.
Common Mistakes to Avoid
- Skipping the status column. Without status updates, a sheet becomes a graveyard of links you cannot act on. Update the status every time you message your agent.
- Mixing currencies blindly. If you paste yuan prices and dollar shipping into the same column, your totals are meaningless. Convert everything to one currency or label columns clearly.
- Forgetting URLs. "I will grab the link later" is the most expensive thought in rep buying. Paste the URL the instant you find the item.
- Over-engineering. Forty columns look impressive but take longer to maintain than the shopping itself. Start with six. Add more only when you repeatedly wish you had them.
- No backups. Make a manual copy before every major haul. Google Sheets has version history, but only if you notice the mistake in time.
Advanced Strategies
Auto-currency conversion. Use =GOOGLEFINANCE("CURRENCY:CNYUSD") in a hidden cell. Reference it in your conversion formulas. The rate updates live, so your cost estimates stay accurate without manual edits.
Conditional formatting. Color entire rows by status: green for delivered, yellow for in warehouse, red for RL. When you open the sheet, your eye immediately finds what needs attention.
Pivot tables. Group data by month and sum total spend. See exactly which months you went over budget and whether summer or winter hauls cost more. Build one in Google Sheets via Data > Pivot Table.
Webhook automation. Connect your sheet to Discord via Zapier. Every status change posts in your group channel. Everyone knows when the haul ships without a single screenshot.
